What we collect, where it goes, and what we will never do with it.

This policy describes the site as it actually operates. It is short because the site does very little — and short is better than a long document describing things that do not happen.

The short version

This site is a public website for a proposed intelligence layer. It has two forms: Share a Problem, and Join the Founding Network. Everything you type into them is written to storage on the server that hosts this site. It is not sent to a third-party form service, and it is not passed to anyone else.

We do not operate a marketing mailing list. We do not run analytics or advertising trackers. We do not sell, license, or share what you submit. And we will only ask for information we have a stated reason to collect.

02

What the forms collect

The Share a Problem form collects: your name (optional), your email address (required), your role (optional), your organisation (optional), the description of the problem (required), any context you provide (optional), and a reference if you are amending or withdrawing an earlier submission.

The Join the Founding Network form collects: your name (required), your email address (required), your role (required), your organisation (optional), your region or language context (optional), the ways you would like to be involved (optional), and anything you want to add (optional).

Both forms also contain a hidden field used to detect automated submissions. It is never shown, and its contents are never stored.

To slow down automated submissions, each attempt is recorded against a one-way hash of the connection that made it. The network address itself is never stored, and the hash is used only to count how many attempts one connection has made.

03

Why each piece is collected

The email address exists so that you can retrieve, correct, restrict, or delete your submission yourself. It is matched against the record when you use the lookup, and it is never published, sold, or shared.

This site has no mail server behind it and does not send email. The address you give is not used to send you anything, and no reply is promised here that would not arrive. If a working mail service is added later, this page will say so before it is used.

The problem description, role, and context exist so the account can be understood rather than merely recorded. The reference field exists so a correction or a withdrawal can be matched to the original submission.

We do not collect identity documents, financial details, health information, precise location, browsing history, or any special-category data. We do not ask for contact details of other people.

04

Where it is stored

Submissions are written as individual records in a database on the infrastructure that serves this website. That is the whole of the storage arrangement: there is no third-party form service, no CRM, and no outbound transmission of form content.

If the server is unable to write to storage when you submit, the form tells you plainly that nothing was saved. It never reports a success that did not happen.

05

Who can see it

Your submission is read by the people operating SolutionSynq. It is not sold, licensed, rented, or shared with third parties for any purpose.

The lookup on the Share a Problem page shows a record only when the reference and the email address on that record both match. A mismatch returns exactly the same answer as a reference that does not exist, so it cannot be used to discover whether anybody else has submitted anything.

Where a submission is aggregated into research, it is aggregated in a way that does not identify you, and the aggregation is what gets published. Publishing identifiable accounts — yours or anyone else's — requires your explicit agreement first.

06

How long it is kept

Information is held only as long as it remains useful and consented. When a submission is no longer needed for the purpose it was given for, it is deleted rather than archived indefinitely.

Records that become part of the research record are retained under the retention rules of the evidence model, and carry their consent, provenance, and any restrictions attached to them.

07

Your rights over your information

You can ask to see what we hold about you, to correct it, to restrict how it is used, or to have it deleted. You can also contest a conclusion that was drawn from something you contributed.

To make any of these requests, use the Share a Problem form and put your reference in the reference field. That request is attached to the original submission, and you can check that it landed by looking the reference up on the same page. If you no longer have your reference, say so in the description and we will try to match the submission by its details and date. Every request is recorded, including the effect of acting on it.

08

Cookies and tracking

This site does not set advertising cookies, and it does not embed third-party trackers. Fonts are self-hosted, and no request is made to an external analytics service from your browser.

If tracking is introduced later, it will be disclosed here before it is enabled, and it will not be added to a form submission without notice.

09

What we cannot promise

These forms are not anonymous and not confidential. A submission is stored on a server and read by the people operating this site. We will not claim a level of protection we cannot actually deliver — and we will not add a confidentiality badge to a form that does not have one.

We also cannot promise that a problem you submit will be investigated, that a conclusion you disagree with will be changed, or that anything will be built as a result. Those are matters of what we can actually do, and they are governed by the method rather than promised here.

10

Complaints about identifiable people

Please do not submit identifiable complaints about a named individual. We do not act on allegations, we do not publish accusations, and we do not build commercial products on the grievances of specific people. Accounts that arrive in that form are not usable and will not be actioned.

11

Changes to this policy

If this policy changes in a way that affects how your information is handled, the change will be described on this page. Submissions made before a change are handled under the policy that was in force when they were made, unless you ask us to apply the newer policy to them.

12

Contacting us

The way to reach us about privacy is through the forms on this site — the Share a Problem form for anything relating to a specific submission, and the Join the Founding Network form for anything else.

This site does not display a postal address, telephone number, or email address, because those details have not been established and verified. Rather than publish placeholder contact information, we have given you a channel that works today.
